How To Use Voicemail To Your Advantage

Do you dread the moment when you’re forwarded to voicemail? Do you struggle with fitting everything you need to say into 30 seconds or less? Voicemail is actually a great thing. Our guide below will help you learn how to use voicemail to your advantage.

Leaving A Voicemail

When you call a client to set or confirm an appointment, you probably want them to answer so you can have a discussion and establish a relationship. However, leaving a voicemail is not a bad option. You’ll be able to say exactly what you need to say without interruptions or distractions, and you can use words and phrases that you know will work.

Take a few minutes to write a script for yourself to use whenever you need to leave a voicemail. It may be a trial and error process at first while you learn what phrases result in callbacks.

Tip: How often do you delete a voicemail without listening to the whole thing? The first ten seconds are vital.  Always have a positive attitude and be sure to mention the client’s name more than once. Don’t forget to introduce yourself, then keep the rest short and sweet. You want to sound neighborly, not like a salesman. Consider the following examples:

“Hey, [CLIENT NAME],” this is [YOUR NAME] calling, I just wanted to confirm our appointment to discuss your Medicare options at [APPOINTMENT TIME & DATE]. If you need to reschedule, give me a call back at [NUMBER]. Again, that’s [NUMBER]. I hope to see you soon!”

“Hello [CLIENT NAME], my name is [YOUR NAME] and I’m calling because you requested information about saving money on your prescriptions. I can come by and help you figure out what you’re eligible for sometime this week! Call me back when you can and we’ll set up a time. My number is [NUMBER]. Again, that’s [NUMBER]. I hope I can help you save some money!”

Setting Your Outgoing Voicemail

Your outgoing voicemail box (the message people hear when they are sent to your voicemail) can determine whether or not a client meets with you. You want to send professional, but approachable. Provide enough information, but keep it short, and provide a time frame for when the client can expect to hear back from you.

It can be difficult to find a solution if your work phone and personal phone are the same. Consider the following examples:

“You’ve reached [YOUR NAME], licensed Medicare agent. I’ll get back to you within 48 hours. Please either leave a voicemail with your name, number, and reason for calling, or email me at [EMAIL ADDRESS], again, that’s [EMAIL ADDRESS]. Talk to you soon!”

“Hey, it’s [YOUR NAME]. I’m unavailable at the moment. If you’re calling about your Medicare options, I’ll get back to you within three business days. Please leave your name, number, and what you’d like to discuss. I’m eager to help!”
